Frame the decision correctly
Copying every form field to the CRM does not constitute good integration. The goal of the transfer is to enable the sales team to perform more accurate follow-ups. Name, communication preference, lead source, and service interest form the starting point for most workflows. Collecting unnecessary sensitive information increases workload and risk.
What should be considered during implementation?
Define field mappings in writing. Will a new request from an existing email address create a new opportunity for the existing contact or update the old record? Do not conflate marketing consent with the contact data used to respond to a quote request within the same consent field.
Monitoring and next steps
Connection loss is a common scenario. A system is required that can retry failed transfers without creating duplicate records upon retrying. An administrator must be able to see which requests failed to transfer; re-submission should be an authorized and logged action. Error logs must not contain sensitive information such as customer passwords or service keys.
Your quick checklist
- Define the purpose of the transfer.
- Specify field and uniqueness rules.
- Keep failed records visible.
